Introduction

Discussion
A Price Chart is where all the prices, surcharges and discounts are created. The purchase prices are created in the Purchase price chart and the Sales prices are created in the Sales price chart.

 

 

In the One Instance concept P&P will be responsible for creating Purchase Price charts and POS will be responsible for creating Sales Price charts.

 

 


Create a Purchase Price Chart

Discussion
To complete the setup of the Blue Horizons Garden Resort we need to create and attach the purchase and sales prices. Once the purchase and sales prices have been set up a booking for this hotel can be made through the booking system.
Step-by-Step: Creating a Purchase price chart
To Create a Purchase Price Chart:

  1. Select Travel>Purchasing Prices. Alternatively select the icon.
  2. Select Production&Procurement > The Americas > Caribbean.
  3. Right click on the Grenada folder.
  4. Select Create new price chart.




 

 

Purchase Price charts will reside within the P&P Production&Procurement Catalogue.

 

 


The Price Chart (Purchase) screen will open.

  1. Enter GNDHBLUHOR/ASE/Y11


The Purchase Price Chart naming convention is as follows:

  1. Select stay related in the Price Calculation field.


To ensure the price chart is available in all catalogues:

  1. Select Price chart enable in all catalogues.


  1. Select the button to the right of the Season Chart field.


The Season Dates screen will be displayed:

  1. Select the Production&Procurement catalogue in the Catalog field.
  2. Select Purchase under Season chart.
  3. Select New on the left side.


The Season Chart screen will be displayed.

  1. Enter GNDHBLUHOR/ASE/Y11 in the Description field.
  2. Ensure Purchase is selected in the Permitted field.


 

 

Purchase + Sales: the price chart is valid for Sales and Purchase price charts.
Purchase: the price chart is valid for Purchase price charts only.
Sales: the price chart is valid for Sales price charts only.

 

 


  1. Select OK to save the Season Chart.


The GNDHBLUHOR/ASE/Y11 Season Chart is now visible.

  1. Select GNDHBLUHOR/ASE/Y11
  2. Select New on the right side.


The GNDHBLUHOR/ASE/Y11 is now visible.
The Season Period screen will open.
The Season Period screen is used to define a season's from date and to date.

  1. Enter A in the Description field.
  2. Enter A in the Season code field.


 

 

The same character in the Description and Season code fields is used to identify the seasons. The coding structure has not yet been defined.

 

 


  1. Enter 01.11.2010 in the Date from field.
  2. Enter 31.10.2011 in the till field.
  3. Select OK to save the period.


The Season Date is now visible on the right side of the screen.

  1. Select OK to save the Season Chart.
  2. Select the drop down box to the right of the Season Chart field.
  3. Double click on the GNDHBLUHOR/ASE/Y11 Season Chart.
  4. Select OK to save the Purchase Price Chart.


The Purchase price chart is now visible on the left side of the screen.

New price codes will now be created.
This is necessary in order to view the seasons.

  1. Select the + to the left of the price chart.
  2. Right click on Main price chart.
  3. Select Create New Price code.


  1. The Price code (Purchase) screen will be displayed.



Ensure the following are selected:

  1. Basis: (Calculation): Night

     

     

    Basis: (Calculation):
    Night: if the calculation is per night.
    Once: if there is one price for the entire stay, for example a tour.

     

     


  2. Calculation type: Participants


 

 

Select Participants in the Calculation type field to calculate the sales price on a per person basis.

Select Unit in the Calculation type field to calculate the sales price per unit, for example, a cruise or an hotel room.

 

 


Price Charts always relate to a certain room type. It is necessary to define which type of room at the Blue Horizons Garden Resort hotel this Price Chart applies to. In this example a standard double room (DS20) will be selected:

  1. Select the drop down box in the Code combination field.
  2. Select No catalog assignment > Hotel > Room Types folder.
  3. Select the DS20 room type.
  4. Enter Double Room Standard Garden View in the Price description.
  5. Select OK to save the price code.


 

 

The Code Combination for the Price code must be the same as the Code Combination for the Service types.

This also applies to the Sales Price chart.

 

 


The Standard Double room price code is now visible.
To specify the price calculation for this room type:

  1. Right click on Double Room Standard Garden View.
  2. Select Properties.


The Price code (Purchase) window will open.

  1. Select Unit in the Calculation type field.


 

 

The calculation type can vary dependant on the agreement.

To calculate the purchase price per person select Participants
To calculate the purchase price per room select Unit

 

 


  1. Select OK to save.


The starting date of the season is displayed but the end date is not visible, (as discussed earlier in the Create a Sales Price section of this document).
Step-by-Step: Display Season Start and End Dates
The starting date of the season is displayed but the end date is not visible. This is confusing as the end user cannot tell when the season ends.
To display the seasons end date:

  1. Right click on GNDHBLUHOR/ASE/Y11
  2. Select Design.
  3. Select Seasons.
  4. Select All season terms.


Navigate to the price chart and the season start and end dates will now be visible

  1. Select the + left from GNDHBLUHOR/ASE/Y11.
  2. Select the + left from Main price chart.
  3. Select the + left from Standard Double room.

Enter Purchase Prices in the Season Chart

Discussion
Now that the Season Charts have been created, the Purchase prices must be entered indicating the purchase price for a standard double room in the Blue Horizons Garden resort for the selected season.

In the illustrated example only one season has been setup 1st November 2010 to 31st October 2011. It is however, still necessary to enter a season price otherwise it will not be possible to book this room in the booking system.

 

 


  1. Right click on the season.
  2. Select Create New Price.


The Saison code / Prices (Sale) window will open.

  1. Select Basic price in the Basis field.
  2. Enter 78 (the purchase price) in the Amount field.
  3. Select Basic price in the Product type field.


 

 

The Product type field is used to define cancellation conditions, commission paid to a travel agency etc. For example a travel agency may receive 5% commission on flights and 10% commission on hotel rooms.

 

 


  1. Select OK to save the new price.


The price is now visible on the right side of the screen. The purchase price chart is now created.


Create a Sales Price and Season Chart

Discussion
A Sales Price chart will now be created. In the One Instance approach Sales Price charts will reside within the POS Catalogue. As the POS folder structure already references the Tour Operator and Year, for example Apollo Sweden 2010/11 (ASE2010/11), there is no need to reference this information in the Sales Price Chart title.

 

 

Once a Purchase Price chart has been created it is possible to make a copy and paste it into the Sales Price chart where it can be edited.

 

 

 

 

 


Please note, if the Booking Ability field in the Booking Code is set to Bookable the system will allow the service to be booked irrespective of whether sales and purchase prices have been set up. This is extremely dangerous as the service could effectively be sold free of charge.

 

 


To create a Sales Price chart:
Step-by-Step: Creating a Sales Price Chart

  1. Select Travel>Selling Prices. Alternatively select the icon.


The Selling Prices menu is displayed.

  1. Select BEWO12/13> The Americas > Caribbean .
  2. Right click on the Grenada folder.



  1. Select Create new price chart.









The Price Chart (Sale) screen will open.

 

 

The relevant POS catalogue appears in the Catalog field.

 

 


  1. Enter GNDHBLUHOR/ ASE/Y11 in the Name field.


The Sales Price Chart naming convention is as follows:

  1. Select Stay related in the Price calculation field.
  2. Select Price chart enable in all catalogues.


The option selected in the Price Calculation field determines the price a customer is charged.

If Stay Related is selected a customer might be charged, for example, 100 Euros per night for the first week of their stay and 120 Euros per night for the second week of their stay, because the second week falls into a higher season.

If Departure Related is selected their entire stay will be calculated as at the rate on the date of departure. For example, if their room rate is 100 Euros per night for the first week and 120 Euros per night for the second week, 120 Euros per night will be charged for their entire stay.

 

 

As pricing is season dependent before any prices can be entered into DaVinci a Season Chart must be created and the dates for each season defined. To create the Season Chart:

  1. Select the button to the right of the Season Chart field.


The Season Dates screen will be displayed:

  1. Select the BEWO12/13catalogue in the Catalog field.
  2. Select Sales under Season chart.
  3. Select New on the left side.


The Season Chart screen will be displayed.

  1. Enter GNDHBLUHOR/ASE/Y11 in the Description field.


 

 

The Season Chart name entered in the Description field should have the same name as that used for the Booking Code.

 

 


  1. Ensure Sales is selected in the Permitted field.


 

 

Purchase + Sales: the price chart is valid for Sales and Purchase price charts.
Purchase: the price chart is valid for Purchase price charts only.
Sales: the price chart is valid for Sales price charts only.

 

 


  1. Select OK to save the Season Chart.


The GNDHBLUHOR/ASE/Y11 Season Chart is now visible.

  1. Select GNDHBLUHOR/ASE/Y11
  2. Select New on the right side.


The GNDHBLUHOR/ASE/Y11 is now visible.
The Season Period screen will open.

  7. Open the Standard Double room.


The season end date is now visible on the right side of the screen. The Purchase price for this season now needs to be entered.

Enter Sales Prices in the Season Chart

Discussion
Now that the Season Charts have been created, the Sales price must be entered indicating the sales price for a standard double room in the Blue Horizons Garden resort for the selected season.

Attach a Sales/Purchase Price Chart to a Booking Code

Discussion
The Sales and Purchase Price charts have been created they now need to be attached to the Blue Horizons Resort hotel booking code. To attach the Sales/Purchase charts follow these steps:
Step-by-Step: Attaching a Sales price chart and a Purchase price chart to the Booking Code.
The Sales and Purchase price charts are attached to the booking code located in the master catalogue. To access the booking code:

  1. Select Travel>Services.
  2. Select Master > The Americas > Caribbean > Grenada
  3. Open the Blue Horizons Garden Resort Booking Code.
  4. Select the Booking Code tab.


To attach the Sales Price Chart to the Booking Code:

  1. Select BEWO12/13from the Catalog field.



  1. Click in the BEWO12/13row in the Sales column.
  2. Select BEWO12/13> The Americas > Caribbean > Grenada
  3. Select GNDHBLUHOR/ASE/Y11


To attach the Purchase Price Chart to the Booking Code;

  1. Click in the BEWO12/13row in the Purchase Price field.
  2. Select Production&Procurement > The Americas > Caribbean > Grenada > Blue Horizons Garden Resort > BEWO12/13>
  3. Select GNDHBLUHOR/ASE/Y11


 

 

Once sales prices and allotments have been assigned the booking ability field is updated to Bookable to ensure this service can be booked through the booking front end.

 

 


Now the Purchase and Sales prices have been attached to the booking code this hotel is bookable.

  1. Select Bookable in the Booking Ability field.

Currency

Discussion
The local currency is normally the default currency of the DaVinci database. Hotel contracts are normally in the currency of the supplier or in US dollars. To change the currency of a price chart.

  1. Right Click on the Main Price Chart of a booking code.
  2. Select Properties.


The Price Subchart screen is displayed:

  1. Select the required currency from the SP Currency field.
  2. Select OK.


The Main Price Chart displays the selected currency.

    Each student will create a Season Chart, Sales Price and Purchase Price Charts.
  2. Create four seasons as follows:


Season one:01 Jan 2011 to 31 Mar 2011
Season two: 01 April 2011 to 30 Jun 2011
Season three: 01 Jul 2011 to 30 Sep 2011
