Lesson 4 - Booking Details
In this lesson you will learn how to:
- Display general booking information
- Display amended information
- Create notes which will appear on a clients invoice
- Create internal notes.
General Booking Information
Discussion
The Booking Details screen is used to display general information about a booking, including:
- The date the booking was processed in Genesis.
- The agent who processed the booking.
- Amendments to the booking including the dates when changes were made and a comparison of changes.
- Payment information, including Purchase and sales price information (gross and net margins).
- The amount and date the deposit was taken and when the balance is payable.
- Special requests.

To access the Booking Details screen, display the required booking reference:
- Select to Open Booking Properties.
Or
- Select Menu > Properties Booking
The Booking Details screen open. The Various tab is displayed.
The Various Tab
The Various tab displays general information about the booking, for example, the agent who created the booking, when it was created and any amendments made to the booking.
The Agent who created the booking is visible in the booking and in the Booking Details screen.To display all booking sequences for this particular booking, the Booking Sequence tab is selected

Ordering person |
This field is used to record the name of a contact person from the agency on the booking file. The name can be typed in manually. |

This field is automatically populated by the CETS system. |
Booking owner |
Name of the person who has created the booking. |
Option date |
The date an option will be held until. The field is automatically populated and is determined by option restrictions established during master data setup. |
System date |
Today's date. |
Language |
The language that all documentation will be printed in. |

Sequence number of the booking. When an amendment is made to a booking a complete history of that booking is retained. The sequence number will enable access to previous versions of the booking. |

Compare an Amended Booking
Discussion
When a booking is amended each amendment to the booking is identified by a unique sequence number which is automatically generated by Genesis. When the booking is retrieved the booking reference number is displayed and the sequence number relating to the most recent modification to that booking. It is possible to view all changes made to the booking by scrolling through the sequence numbers.
To compare changes to a booking in more detail the Booking Details screen can be used.
- Step-by-Step: Compare an Amended Booking
To access the Booking Details screen, first the required booking reference must be displayed:
- Select to Open Booking Properties.
- Select the Various tab.
- Select the Booking Sequence tab.
This booking has been amended. The sequence numbers identify each version of the booking.Select the Compare button to compare each booking sequence.
- Select the Compare button.

If the booking has multiple sequences, select the sequences to be compared by selecting the first sequence and holding down the Shift or Ctrl key and select the next sequence. |

Each service line can be compared. An amendment was made to the number of participants on the Grenada Island Excursion (GNDESPIISL)
Select the relevant Service Line, the example below illustrates that originally 2 participants were booked for the Island Excursion an amendment was made to the booking and now 3 participants are booked on the excursion.
Amendments are colour coded._In this example an amendment was made to the number of participants on the Island Excursion._Select a Service Line and the details of that service are displayed.
- Select Close.
Booking Notes - Customers Invoice
Discussion
It is possible to enter notes which will be printed on the customers invoice.
If a note is entered and the Remind flag is selected this screen will be displayed every time the booking is selected as a reminder to the reservation staff of the note entered.
Scenario
Dr Erikksson has visited the Blue Horizon Garden Resort before and has requested a specific room number. A note will be added to the booking, which will appear on the printed invoice.
- Step-by-Step: Print a Note on an Invoice
Enter a note:
- Select to Open Booking Properties.
- Enter PleCatalogue note returning client has requested ROOM 105. PleCatalogue note we cannot guarantee this request on the Print on documents area of the screen.
- Select the Remind checkbox.
- Select OK.
- Enter CR in the Command field of the booking.
- Press Enter or select Send.

Once certain documents have been printed an entry is made in the Booking Documents screen with the date the document was printed. Documents include: |
Booking Notes - Internal
Discussion
Internal notes are designed for internal sales staff use only. For example, a client may not wish to be contacted at work; a note may be entered in the Internal Booking Note field notifying staff of this.
- Step-by-Step: Create an Internal Booking Note
- Select to Open Booking Properties.
- Enter Work Number is not maintained on the system. Client does not wish to be contacted at work.
- Select Remind check box to display the booking notes each time the
- Select OK.
- Enter CR in the Command field of the booking.
- Select Enter or select Send.
Next time the Booking Details screen is opened the note which was entered in the New Internal Booking Notice area will appear in the Internal Booking Notice History area.
An icon will appear to indicate that an internal booking note exists.
