Flight Segments/ Physical Legs

Discussion
A Flight Segment or Physical Leg is a flight with a single takeoff and a single landing. A non stop flight from Stockholm (ARN) to Los Angeles (LAX) has a single segment/leg.
A flight from Stockholm (ARN) to Los Angeles (LAX) with a stop over in Chicago (ORD) has two segments.
Each flight segment is set up as a separate booking code in DaVinci.

Create a Physical Leg

The Sales Flight Stockholm to Rhodes has two possible routes, each with two segments or legs. A separate booking code for each segment per route has to be created.

Route 1: Stockholm to Copenhagen – Copenhagen to Rhodes
ARN CPN – CPN RHO
Route 2: Stockholm to Oslo – Oslo to Rhodes
ARN OSL – OSL RHO

To create a booking code for the first segment of route 1, Stockholm to Copenhagen:

1. Select Travel > Services
2. Select CATALOGUE 12/13 > Europe > South East Europe > Greece > Rhodes > Physical Flights > Outbound > via CPH.

1. Select Create New Booking Code

The Booking Code window will be displayed:

1. Select the Booking Code tab.
2. Enter Stockholm –Copenhagen in the Booking Name field.
3. Enter ARN CPN/NV in the Booking Code field.

The naming convention for a Physical Leg/Segment Booking Code is as follows:

1. Enter Chart Flight (C) in the Requirement field.
2. Select SAS Charter (Sweden) in the Invoice Supplier field.

1. Select the Options 1 tab.
2. Select Confirmation of Important Notes.
3. Select Options 2 tab.
4. Enter Rhodes in the Destination field.
5. Click OK.

Repeat the steps above to create a separate booking code for each physical leg or segment.
The table below illustrates the name of each physical leg, the name of each booking code and the folders where each booking code should be stored.

Assign a Service Type to a Physical Leg

Discussion
A Booking Code for each Physical Leg of the following routes has now been created.
Route 1: Stockholm to Copenhagen – Copenhagen to Rhodes
ARN CPN – CPN RHO
Route 2: Stockholm to Oslo – Oslo to Rhodes
ARN OSL – OSL RHO
The Flight Service Types (Economy and Business) need to be assigned to each leg.
Step-by-Step: Assign a Flight Service Type
To assign a Flight Service Type to the Booking Code the Stockholm to Copenhagen leg (ARN CPH/NV):

1. Select Travel > Services.
2. Select CATALOGUE 12/13 > Europe > South East Europe > Greece > Rhodes > Sales Flights > Outbound.
3. Select the ARN CPH/NV Booking Code.
4. Select the Service Type tab.
5. Select New.

The Assignment of the Codes screen is displayed.
Enter the description of the Service Type.

1. Enter Economy Class in the Internal field.

Enter the flight/cabin Class code.
Select No catalog assignment > Flight > Class from the Code Combination [accommodation] field.

1. Select Y [Y]

In the next row enter the unique Chain Code identifier:

1. Select No catalog assignment > Flight > Chain Code from the Code Combination [accommodation] field.
2. Select 02 [02].

The Economy Class service type has been set up for the Stockholm to Copenhagen leg.
To ensure that it is possible to search for flights by cabin class in the Genesis booking mask it is necessary to select the class within the Cat Transport Search field of the Assignment of the Codes screen.

1. Select the Options tab in the Assignment of the codes screen.
2. Select Economy from the Cat Transport Search field.

1. Click OK.

Repeat the above steps to set up the Business Class Service Type.
When complete, the Economy and Business service types will appear within the booking code:

The newly created service types will appear within the folder structure as illustrated below:






Repeat the steps above to setup the service types for the remaining legs:

Set Up the Flight Rotation for a Flight Leg

Discussion
The flight rotation now needs to be setup which will include details of the routing, schedule, airline etc.
For scheduled flights this information can be imported into DaVinci from the external GDS, (for example, Galileo or Amadeus), for Charter flights however, this information needs to be entered directly into DaVinci.
Step-by-Step: Assign a Flight Rotation to a Leg
The Flight Rotation for each leg or segment of an Outbound and Inbound flight is assigned via the Flight Tab of each Flight Booking Code:

1. Select the Outbound ARN CPN/NV Sales Flight Booking Code.
2. Select the Flight tab.

To create a new Rotation for this flight:

1. Select the to the right of the Rotation field.
2. Select New.

The details of this Rotation are entered, the Flight number, Airline etc:

1. Enter NV 1234 in the Flight no field.
2. Enter ARN – CPN in the Name field.
3. Select SAS Charter Flights from the Airline dropdown field.
4. Select No catalog assignment > Flight > Chain Code from the Chain Code dropdown field.
5. Select 02 [02]

   	If the Chain Code is known it can be entered directly in the Chain code field.

   
   In this example the rotation start date is the 1^st November 2012 and the end date is 31^st October 2013. The flight is scheduled to depart from Stockholm on a Monday and Wednesday every week at 10:00 and scheduled to arrive in Oslo at 11:00.
   
6. Enter 01.11.2012 in the Date field.
7. Enter 31.10.2013 in the Date field.
8. Select Monday, Wednesday and Friday.
9. Enter ARN in the From field.
10. Enter CPN in the To field.
11. Enter SK 1234 in the Flight no field.
12. Enter 10:00 in the Departure field.
13. Enter 11:00 in the Arrival field.
14. Enter +0 in the Diff field.

    	If a flight departs on one date and arrives the next, for example: Departure 22:30 1st November Arrive:06:30 2nd November +1 is entered in the Diff field.

    
    
15. Select OK.

The departure dates entered in the rotation for this physical leg can be viewed under Departure Dates of the Flights tab.


Step-by-Step: Edit a Flight Rotation Leg
Once the Flight Rotation has been created it can be edited.

1. Select the Outbound ARN CPN/NV Flight Booking Code.
2. Select the Flight tab.

To edit the rotation for this flight:

1. Select the to the right of the Rotation field.
2. Select Edit.

The Change Rotation screen will open and the selected rotation displayed:

To change the details of the rotation:

1. Select the Summary Change tab.

The first column is used to select the original data entry and the second column is used to enter the revised data entry.
Select the new data entry.Select the original data.
We have been notified that the flight number has changed. The flight number is now NV 5678, edit the Flight No field:

1. Enter NV 1234 in the first column of the Flight no field.
2. Enter NV 5678 in the second column of the Flight no field.
3. Select the Change button.

The flight number has now been updated.
 Step-by-Step: Delete a Flight Rotation Leg
Once the Flight Rotation has been created it can be edited.

1. Select the Outbound ARN CPN/NV Flight Booking Code.
2. Select the Flight tab.

To delete the rotation for this flight:

1. Select the to the right of the Rotation field.
2. Select Delete.

If no bookings have been made, the following warning message will appear:

To delete the rotation:

1. Select Yes.

Flight Combinations

Discussion
In some instances an outbound flight can only be sold in combination with a certain inbound flight. In this case two separate Flight Booking Codes are created, for example:

To ensure these flights are sold in combination they are linked via the Options 2 tab of the Outbound Booking Code.
For example to link an Outbound Stockholm to Oslo and Inbound Oslo to Stockholm:

• Open the Outbound Flight Booking Code, ARN OSL.
• Select the Options 2 tab.
• Select the Service only in combination with other field.
• Select F (Flight) in the Requirement field.
• Enter the Inbound Flight Booking Code, OSL ARN in the Booking Code field.
• Click OK.
