Create a Booking Request

     The Booking Request (BA) command is used to check availability and price of a service before making the booking. A booking request does not reserve seats, rooms or guarantee the price.

Scenario
Mr and Mrs Eriksson and their 9 year old son would like to stay at the Blue Horizon Garden Resort in Grenada during May 2012.
They require a quotation for the following:

  • Return flight Stockholm to Grenada
  • Return transfer from Airport to Hotel
  • 14 nights accommodation at the Blue Horizon Garden Resort


They would like to travel on 23rd May 2012.
(Info) Step-by-Step: Create a Quotation/Booking Request
Create a booking request (BA Command):
From the Top Line select the catalogue from which the products will be selected.

The Top Line
In this example the Apollo Sweden 2010/2012 catalogue will be selected.

  1. Select CATALOGUE in Type of Travel field
  2. Enter 3 in the Pax field.
  3. Enter 100 in the Agency/Travel ag field.


In this example a Test Agency (100) has been set up in the databCatalogue.
If the travel agency number is not known, select to the right of the Agency/Travel ag field and a search dialogue box will be displayed. The required agency can be located using the Address/Booking Search screen.

  1. Enter 100 in the Client field.

The entries made in the Agency /Travel ag and Client fields will depend on whether a client is making a booking directly with a Kuoni Call Centre or via a Travel Agent.

For example:

The Apollo Sweden id is entered in the Agency / Travel ag field if the client is booking direct otherwise enter the Travel Agent's id.

If a client is booking direct with a  Call Centre, the clients Address ID is entered in the Client field or if they are booking via a travel agent the Travel Agent's id is entered in the Client field.

 

 



The Name Line

  1. Enter H in the Title field.
  2. Enter Eriksson/Sven/Dr in the Name/First name/Title field.
  3. Enter D in the Title field.
  4. Enter /Erika in the Name/First name/Title field.
  5. Enter K in the Title field.
  6. Enter /Thomas in the Name/First name/Title field
  7. Enter 03052002 in the Date of Birth/Age field.

DaVinci/Genesis is a German system. In the Title field it is necessary to enter, H, D, K, B this will be converted to the appropriate local salutation on all correspondence.

A child/baby's date of birth must be entered to ensure appropriate child discounts are applied.

 

 


The Service Line
In this instance the Eriksson's would like to fly from Stockholm (ARN) to Grenada (GND) on Friday 21st October 2012.
Select the outbound flight:

  1. Right Click in the Service field.
  2. Select Service Selection.
  3. Select Bewo12/13 > The Americas > Caribbean > Grenada > 22 Scheduled Flight > Outbound from the Service field.
  4. Select Stockholm - Grenada (SAS) [ARN GND/SK, F].


Enter the period for which the Erikksons wish to travel. A travel period can be selected from a list or entered manually by selecting the button to the right of the Travel Period field.

  1. Select to the right of the Travel Period field.



They would like to travel on the 23rd May 2012

  1. Enter 230512 in the From field.
  2. Enter 0 in the Length field.
  3. Select OK.


The cabin classes (service types) available for this flight are displayed and flight availability.
Flight availabilityClick on the Business Class service type.

  1. Select Business Class.
  2. Select Take Over

Selecting Take Over will enable you to select another product or service type from the Selection Service screen, while it is still open.

 

 



They wish to return on the 30th May 2012.
Select the inbound flight:

  1. Select Bewo12/13 > The Americas > Caribbean > Grenada > 22 Scheduled Flight > Inbound from the Service field.
  2. Select Grenada - Stockholm (SAS) [GND ARN/SK, F].
  3. Select to the right of the Travel Period field.
  4. Enter 300511 in the From field.
  5. Enter 0 in the Length field.
  6. Select OK.
  7. Select Business Class.
  8. Select Take Over.


Select a transfer from Grenada airport to the hotel:

  1. Select CATALOGUE > The Americas > Caribbean > Grenada > 30 Transfers from the Service field.
  2. Select Grenada Airport - Hotel [GNDTAIRHOT, T].
  3. Select Private.
  4. Select to the right of the Travel Period field.
  5. Enter 230512 in the From field.
  6. Enter 0 in the Length field
  7. Select OK.
  8. Select Take Over.


Select a transfer from hotel to Grenada airport:

  1. Select CATALOGUE > The Americas > Caribbean > Grenada > 30 Transfers from the Service field.
  2. Select Grenada Hotel - Airport [GNDTHOTAIR, T].
  3. Select Private.
  4. Select to the right of the Travel Period field.
  5. Enter 300512 in the From field.
  6. Enter 0 in the Length field.
  7. Select OK.
  8. Select Insert.


The flights and transfers will now be displayed in the Service Line. The State (status of the booking) and Price will not be displayed at this stage.

 

 

The following fields have been populated:

Requirement
Service
Accommodation
Qty
From/Till

These fields can be changed as required. Notice the Qty field shows 1 for the GNDTAIRHOT and GNDTHOTAIR transfers. If the transfer is priced per seat (for example, seat on a bus, boat, train etc) then the quantity would need to change to reflect a per person/seat price. If the transfer is by private limousine the price is bCatalogued on a per car price.

 

 


Check the information is correct and amend as required.
The Erikssons would like to stay in the Blue Horizon Garden Resort. This time we will enter the booking code directly.
Select the Hotel:

  1. Enter H in the Requirement field.
  2. Enter GNDHBLUHOR in the Service field.
  3. Enter DS02 in the Accommodation field.
  4. Enter 1 in the Qty field.
  5. Enter 23052012 in the From field.
  6. Enter 7 in the Till field.



To submit the request select Booking Request (BA).

  1. Enter BA in the Command field.


If a booking is possible the following message will be displayed.
Booking possible, use action 'B'.
Price per component is displayed.Price per person is calculated
Price per person is calculatedTotal Price

In the example above Booking is possible. The status of the service is indicated in the State field and the status is shown as OK which means that none of the services are on request. The price will be displayed for each individual service, a total for each passenger and a total booking price. To make a booking:
