Introduction

Discussion
In order to apply a discount or surcharge a rule must be applied. Rules are added to price charts. Genesis calculates the correct price based on the price charts and rules attached. Most rules have already been predefined, for example rules covering:

  • Child Discount
  • Special Offers
  • Early Bird
  • Honeymoon
    In this lesson you will be shown how to attach existing price rules to Sales and Purchase price charts.
    Scenario
    Our contract with the Blue Horizons Garden Resort states that children of 12 years and under are free of charge. Two children are allowed to stay in a double room with their parents.
    The hotel also has a few special offers which can be combined.
  • Early bird: 5% discount between 01.11.12 - 31.10.13, booked before 31.10.13
  • 7=6 Special offer, max. 1 night free from 01.04.13 - 30.06.13












Attach a Child Rule

In the following example a child discount will be applied to the Sales and Purchase price charts.
Step-by-Step: Attaching Price Rules to a Sales Price chart and to a Purchase price chart.

  1. Select Travel>Selling prices. Alternatively select the icon.
  2. Select BEWO12/13> The Americas > Caribbean > Grenada folder.
  3. Select the + to the left of GNDHBLUHOR/ASE/Y11
  4. Select the + to the left of Main price chart.
  5. Select the Double Room Standard Garden View.
  6. Select the Season.
  7. Double click on the price on the right side of the screen to open the Saison code / Prices (Sale).



Double Click anywhere on this row to open the Saison Code/Prices (Sale) screen.
The Saison code / Prices (Sale) screen is displayed.

Scroll across if necessary.

To apply the child discount rules for babies and children:

  1. Select the drop down in the Rule field.



  1. Select No catalog assignment.
  2. Select Baby in the Rule field.


 

 

Predefined rules are selected from the Rule field, each rule will apply the appropriate discount/ surcharge.

 

 


  1. Ensure Participant/Percent is selected in the Type field.


 

 

The Type field provides the basis of the calculation for the Rule. The calculation depends on the restrictions of the discount. For example, Child discount calculations can be based on either of the following:

Participant/Percent: If the discount is a percentage and has to be calculated per person. When Participant/Percent is used, the discount has to be entered in the Percent field.

Participant/Absolute: If the discount has to be calculated per person and it is an absolute amount (it will be calculated once per person). When Participant/Absolute is used, the discount has to be entered in the Absolute field.

 

 


 

 

Because it is a discount we have to enter a minus followed by the percentage or amount.
e.g. 100% discount: -100 in the percent field.

 

 


  1. Enter -100 in the Percent field.
  2. Select Basic price in the Product type field.
  3. Select Child discount in the Grouping code field.


 

 

Price Rules can be grouped together. In this example a group called Child discount exists in the database. The Child discount group is assigned to the Grouping code field. The system will assign a rule from this group which provides the most preferential discount to the client.

Whatever is selected in the Grouping code field will be printed on the invoice.

 

 


The rule for the baby is now completed.
A child discount will now be applied for the 1st child.

 

 

Baby: 0 till 1.99 years
Children: 2 till … years (depending on the child discount rule)

 

 


1st Child

  1. Select No catalog assignment
  2. Select C-2-12Y/1C-2A in the Rule field on the second row.
  3. Ensure Participant/Percent is selected in the Type field.
  4. Enter -100 in the Percent field.
  5. Select Basic price in the Product type field.
  6. Select Child discount in the Grouping code field.


2nd Child
Repeat the 1st Child steps for the 2nd Child, select the Baby rule.
Select OK to save.

Display the Contents of a Price Rule

To view the contents of the rule:
Select Configuration > System Settings and select Conditions.
Select Prices – Rules > Purchase + Sales
A list of existing rules will be displayed.
To display the details of the rule, double click on the required rule.
The Baby Rule is displayed.










In this example the Baby rule was selected. This rule classifies a Baby as an infant between 0 and 2 years, as illustrated in the example below.



Attach an Early Bird Rule

In the following example an early bird discount will be applied to the Sales and Purchase price charts.

  1. Select Travel>Selling prices. Alternatively select the icon.
  2. Select BEWO12/13> The Americas > Caribbean > Grenada folder.

  4. Select the + to the left of Main price chart.
  5. Select the + to the left of Double Room Standard Garden View.
  6. Select the Season.

  10. Select Early Bird in the Rule field.
  11. Ensure Participant/Percent is selected in the Type field.


 

 

The Type field provides the basis of the calculation for the Rule. The calculation depends on the restrictions of the discount. For example, Early Bird discount calculations can be based on one of the following:

Participant/Percent: If the discount is a percentage and has to be calculated per person. When Participant/Percent is used, the discount has to be entered in the Percent field.

Participant/Absolute: If the discount has to be calculated per person and it is an absolute amount (it will be calculated once per person). When Participant/Absolute is used, the discount has to be entered in the Absolute field.

Participant/Nights: If the discount has to be calculated per person per night. When Participant/Nights is used, the discount has to be entered in the Absolute field.

 

 


  1. Enter -5 in the Percent field.
  2. Select Basic price in the Product type field.
  3. Select Early bird in the Grouping code field.
  4. Enter 01.11.12 in the Date from field.
  5. Enter 31.10.13 in the Date till field.


 

 

The Date from and Date till fields indicate the travel period.

 

 


  1. Select Departure in period in the Price Validity field.


 

 

The Price Validity indicates the type of calculation.
Departure in period: The departure date (arrival date in the hotel) must be in the given period.
Dep-and Arrival in period: The stay must be completed in the given period.
Stay: The stay must be in the given period. It is not necessary to complete the stay in the given period

 

 


  1. Ensure Undefined is selected in the Calculation field.


 

 

The Calculation is connected with the Price Validity and also indicates the type of calculation.
All days of trip: All days of the stay.
Days in period: The system will calculate the price based on days.
Nights in period: The system will calculate the price based on a nights.

 

 


  1. Enter 31.10.13 in the Booking till field.


 

 

The Booking from and Booking till indicate the Booking period.

 

 


  1. Select OK to save the Early bird.


The Early bird is now created.

Attach a Special Offer

In the following example a 7 nights for the price of 6 special offer discount will be applied to the Sales and Purchase price charts.
Step-by-Step: Attach a special offer to a Sales Price chart

  1. Select Travel>Selling prices. Alternatively select the icon.
  2. Select ASE2010/11> The Americas > Caribbean > Grenada.
  3. Select the + to the left of GNDHBLUHOR/ASE/Y11
  4. Select the + to the left of Main price chart.
  5. Select the + to the left of Double Room Standard Garden Room.
  6. Select the Season.
  7. Open the Saison code / Prices (Sale)
  8. Select the drop down in the Rule field.
  9. Select No catalog assignment.
  10. Select Free nights 7=6/once in the Rule field.


 

 

Because there is a maximum of one free night we have to select Free nights 7=6/once. If there is no maximum for the free nights we can use Free nights 7=6/repeatedly.

 

 

  1. Ensure Participant/Percent is selected in the Type field.
  2. Ensure Basic price is selected in the Product type field.
  3. Select Reduction in the Grouping code field.
  4. Enter 01.04.13 in the Date from field.
  5. Enter 30.06.13 in the Date till field.
  6. Select Departure in period in the Price validity field.
  7. Ensure Undefined is selected in the Calculation field.
  8. Select OK to save.
  9. The 7=6 special offer is now created for the sales price chart.


The rules are now created in the Sales price chart.
Step-by-Step: Attach a special offer to a Purchase Price chart
Rules now need to be attached to the Purchase Price chart, this can be achieved by copying the information from the Sales Price chart into the Purchase Price chart.

  1. Open the Saison code / Prices (Sale).
  2. Select all rows containing Rules.


(Click on the left to select an entire row and then drag down to select multiple rows.)

  1. Right click on the selected rows.
  2. Select Copy.
  3. Select Cancel to close the Saison code / Prices (Sale) window.
  4. Open the Travel > Purchasing Prices menu.
  5. Select BEWO12/13> The Americas > Caribbean > Grenada.
  6. Select the + to the left of GNDHBLUHOR/ASE/Y11
  7. Select the + to the left of Main price chart .
  8. Select the + to the left of Double Room Standard Garden View [DS20].
  9. Select the 01.11.2012-31.10.2013 season.
  10. Open the Saison code / Prices (Purchase).
  11. Right click in the lower area (the rules area).
  12. Select Paste.


Because the Calculation type setting of the Standard Double room in the Purchase price chart is per Unit some settings require adjustment in the rules for the Purchase price chart.

 

 


  1. Select all the Child discounts rows.



  1. Press Delete on the Keyboard.


 

 

The prices are given per room per night and not per person. So there will be no Child discount.

 

 


  1. Select Quantity / Percentage in the Type field of the Early bird rule.
  2. Select Quantity / Percentage in the Type field of the Free nights 7=6/once rule.
  3. Select OK to save.


 

 

It is also possible to create the rules in a Purchase price chart the same way as the Sales price chart. To save time the best option is to copy the rules from the Sale price chart in the Selling prices menu and paste them into the Purchase price chart in the Purchasing prices menu.

 

 


The rules have now been copied to the Purchase price chart.
The Blue Horizons Garden Resort sent us an email with rate increases. We have to add 3 EUR per night to all room types. We will not charge this to our clients so the surcharge has to be created in the purchase price chart only.

  1. Open the Saison code / Prices (Purchase).
  2. Select the drop down in the Rule field.
  3. Select No catalog assignment.
  4. Select Price Supplement in the Rule field.


 

 

The Price Supplement rule is a general rule which can be used for discounts and surcharges. There are no restrictions in the settings for this rule so this rule can always be used for a general discount or surcharge.

 

 


  1. Select Quantity/Nights in the Type field.


 

 

The rate increase will be calculated per night. Because it is an absolute amount Quantity/Nights has to be selected.

 

 


  1. Enter 3 in the Amount field.
  2. Select Basic price in the Product type field.
  3. Select Surcharge in the Grouping code field.
  4. Select OK to save.


The surcharge is now created.

 

 

In this lesson the price rules are added in the price codes. If a rule is valid for all price codes it can be set up in the Main price chart

 

 


Rule Levels

Discussion
To calculate prices in Genesis correctly a level needs to be assigned to a rule in DaVinci. The level determines the order in which a rule is calculated. For example, a special offer must be calculated first in DaVinci before a child discount is applied in Genesis.
The rule level is entered in the Level column which can be found on the Rules Menu.

Rules – Sales Price Chart

Discussion
Genesis will calculate any discounts to the Sale Price in the order they are entered into the system. In the example illustrated below the discounts are calculated in the following order:

  • 100% child discount (100% discount on room price : 567,-)
  • 5% early bird discount (5% discount on total room price per person : 28,50 per person (including child))
  • 1 night free (1 night free on total room price per person : 81 per person (including child))

In the next example the discounts have been entered into Genesis in a different order, these rules will be calculated as follows:

  • 1 night free (1 night free on total room price per person : 81 euro per person)
  • 5% early bird discount (total room price-1 night discount x 5% : 567-81x 5% = 24,50 per person)
  • 100% child discount (total price-1 night free-early bird=child discount : 567-81-24,50= 461,50)


The order in which the discounts are calculated will effect the final discount.
To ensure the discount rules are applied in the correct order within Genesis a level is entered in DaVinci which is used to determine the order in which rules are calculated.

Rules are calculated in order from lowest level to highest level. In the example above the rules would be calculated in the following order Rule 10, Rule 20, Rule 30.

Rules - Purchase Price Chart

Discussion
An Always rule exists for use with Purchase Price Charts. This is a generic rule which is always valid.
In the example below rules have been entered in DaVinci as follows:

Rules are calculated in order from lowest level to highest level. In the example above the rules would be calculated in the following order Rule 5, Rule 10, Rule 20.
Genesis will calculate the Purchase Price applying rules in the following order:

  • Rate increase (always rule) (rate increase x stay : 3x7=21)
  • 1 night free (total room price+rate increase : 178+3=181 (60,33 x 3 = 181))
  • 5% early bird discount (total room price+rate increase-1 night free x 5% : 1246-181x 5% = 54,30)


Scenario
Our contract with the Blue Horizons Garden Resort states that children of 12 years and under are free of charge. Two children are allowed to stay in a double room with their parents.
The hotel also has a few special offers which are combinable.

  • Early bird: 5% discount from 01.11.12 - 31.10.13, booked before 31.10.12
  • 7 = 6 Special offer, max. 1 night free from 01.04.13 - 30.06.13


Genesis will calculate the price according to the level of the rule as defined in DaVinci:
We have received an email from the hotel with a correction. The special offers are no longer combinable. Clients can have the Early bird special or the 7=6 Special offer.
The rules in DaVinci will need to be adjusted as the special offers can no longer be combined.

Step-by-Step: Rules - Non Combinable
When special offers are available but not combinable, the most preferential offer for the client will be selected by the system.
Open the Selling Prices Menu.

  1. Select Travel >Selling prices.
  2. Select BEWO12/13> The Americas > Caribbean > Grenada.
  3. Select the + to the left of GNDHBLUHOR/ASE/Y11.
  4. Select the + to the left of Main price chart.
  5. Select the + to the left of Double Room Standard Garden Room.
  6. Select the season.
  7. Open the Saison code / Prices (Sale) menu.


  1. Select the Group column field on the Early bird rule row and assign EBD and Specials.


 

 

Price Rules can be grouped together. In this example a group called EBD and Specials exists in the database. The EBD and Specials group is assigned to the Group column field. The system will assign a rule from this group which provides the most preferential discount to the client.

 

 



  1. Select Price Rule.
  2. Select the Group column field on the Free Nights 7=6/once rule row and assign EBD and Specials.
  3. Select Price Rule.
  4. Select OK to save.


Open the Purchase Prices Menu.

  1. Select Travel >Purchase prices.
  2. Select BEWO12/13> The Americas > Caribbean > Grenada.
  3. Select the + to the left of GNDHBLUHOR/ASE/Y11.
  4. Select the + to the left of Main price chart.
  5. Select the + to the left of Standard Double room.
  6. Select the season.
  7. Open the Saison code / Prices (Purchase) menu.
  8. Select the Group column field on the Early bird rule row and assign EBD and Specials.
  9. Select Price Rule.
  10. Select the Group column field on the Free Nights 7=6/once rule row and assign EBD and Specials.
  11. Select Price Rule.
  12. Select OK to save.


Genesis will automatically calculate the best offer.
