Lesson 13 - Cancellation Charts

  • Link a Standard Cancellation Chart to a Booking Code

Introduction

Discussion
For many services standard cancellation terms apply. These terms can be defined in a cancellation chart.
If a product has different cancellation terms than normal a separate cancellation chart can be created and linked to the product.



Scenario
We have received the standard cancellation terms and conditions for products in the 2012-2013 catalogue. Our accounting department have asked us to enter these terms in DaVinci.
Step-by-Step: Create a Cancellation Chart

To create a new cancellation chart:

  1. Select Configuration>System setting.


  1. The System setting menu will open.


  1. Select Conditions.








 

 

The last menu viewed is opened when Configuration > System setting is selected, so you may find the Conditions menu rather than the System setting menu opens.

 

 






  1. Select Cancellation chart.
  2. Right-click on the right side of the screen.
  3. Select New.








  1. The Cancellation chart window will open.
  2. Enter Standard in the Name field.
  3. Select Purchase + Sales in the Valid for field.


  1. For the Standard cancellation chart the following columns will be used:
  • Description
  • Days before departure
  • Product type
  • Percent
  • Currency

The following cancellation terms will apply, if a customer cancels a holiday from the Catalogue 2012-2013 catalogue.

If a customer cancels their holiday on the day of departure 100% of the holiday price must be paid, if cancelling 56 days before the date of departure 10% of the holiday price is paid
Cancellation 0 days before departure:

  1. Enter 0 days in the Description column of the last row.
  2. Enter 0 in the Days before departure column of the last row.
  3. Select Basic price in the Product type column of the last row.
  4. Enter 100 in the Percent column of the last row.
  5. Select EUR in the Currency column.


 

 

The percentage figure refers to the percentage of the holiday price which must be paid in the event of a cancellation

 

 


Using the cancellation table above repeat for the remaining cancellation periods:
Step-by-Step: Link the Cancellation Chart to a Booking Code

  1. Open the Services menu.
  2. Open the BEWO12/13> The Americas > Caribbean > Grenada.
  3. Open the Blue Horizons Garden Resort Booking Code.
  4. Select the Booking Code tab.
  5. Select 100% Cancellation in the Cancellation field.


  1. Select OK to save.

     

     

    The cancellation terms have to be created per product type.

     

     


    The cancellation chart is now successfully linked to the Booking Code
