Scenario

Mr. Van der Valk would like to book an excursion during his stay. The excursion he is interested in is not published in our brochure. The reservation department has sent a request to our supplier, the supplier has advised that the excursion is available and sent us the rates. The reservation department discussed the options with Mr. Van der Valk and he would like to go ahead with the booking. Please set up the excursion so the reservation department can include it in Mr Van der Valk's booking.
Create an Excursion Folder:

Select Travel > Services.
Right click on the relevant destination folder and select Create New Group.
Create a Excursions folder.

Create an Excursion Booking Code:

Create a new Booking Code. Enter or select the correct information in the following:

Booking Code Tab:

Service Description field


	In the Service Description field the name and duration of the excursion is entered. For example, Miami City Tour, Half Day The text in the Service Description field will be printed on the invoice and travel itinerary.

Service Types Tab:
The Service Type code is used to describe the duration of the excursion the client wishes to book.

Create the New Service Type.


	A Service Type code is comprised of 4 alphanumeric characters: The first 2 are alpha characters: Half day Excursion HD Full Day Excursion FD Digit 3 and 4 are numerics: 0 - 99 An excursion from Grenada Blue Horizon Beach Resort Hotel would have the following Booking Code and Service Type Code: Boat Trip around the islandGNDEBOATRIHD01 Reef Snorkel GNDEREESNOFD01

Periods Tab:
The dates on which the excursion is available are entered via the Periods Tab. The whole season is entered here, for example 1^st Jan 2010 to 31^st March 2010.
Select Assistant. The Assistant Create Dates menu will open.

Enter the starting date of the season in the From Date field.
Enter the ending date of the season in the Till field.
Enter 0 in the Duration field.
Ensure Bookable is selected in the State field.
Select the Days on which the excursion can be booked.
Select OK to save the periods.

Select Date Check in the Dates check field.


	In the Dates check field Date check or No check has to be selected. The standard option is Date check. When Date check is selected the created periods are the only bookable periods in Genesis. When No check is selected it is possible to book periods in Genesis outside the created periods in the Booking Code.

Print Parameters Tab:
Ensure the Service Supplier's Address is printed on the customer's invoice

Sales Price Chart:

A new Sales Price Chart needs to be created to enter the amount the customer will pay for this transfer.

Create a new Price Chart (Sale)

Make selections in the following fields:
Name field
Season Chart field.
Price calculation field


	For excursions departure related will be used in the Price calculation field.

Create a new Price Code (Sale)

Make selections in the following fields:
Basis (Calculation) field


	For excursions Once will be used in the Basis (Calculation) field.

Calculation type field


	For excursions Participants will be used in the Calculation type field.
